Why do emails end up in spam — and how do you fix it?
A perfectly written email is worthless if it never reaches the inbox. Deliverability is about trust: mailbox providers must be certain that your message really comes from you, is safe and is wanted. 2mail takes care of the technology, the reputation and the follow-up this requires — from a Belgian infrastructure built for exactly that, every day.

Delivery is not a technical detail, but the core of every email strategy
Sent is not the same as arrived — and arrived is not the same as read.
Deliverability is the percentage of emails that actually reach the recipient's inbox, instead of landing in the spam folder or being rejected silently. It is one of the most underestimated factors in email communication: companies invest time in beautiful templates and catchy subject lines, but if the underlying infrastructure is not trusted by Gmail, Outlook, Proximus or Yahoo, none of that effort ever reaches its goal.
The insidious part is that deliverability problems are rarely visible to the sender: you get no error message, the mail simply appears to have been sent. That is exactly why an infrastructure that structurally addresses authentication, reputation building and monitoring is not a luxury, but a precondition for communicating successfully with your customers, users or prospects. Want to know more about the technical connection itself? Read how SMTP relay works and how 2mail delivers transactional email on the same foundation.
Where this page is about delivery, the other half is about what you send: email marketing and campaigns runs on exactly the same foundation, and anyone setting up a concrete send will find the steps under sending a mailing.
Which signals do Gmail, Outlook & Proximus assess?
Every incoming email is tested against dozens of factors within a fraction of a second. These are the decisive ones.
IP & domain reputation
A new or unknown sending address without history raises suspicion. Reputation is built, not bought — and one bad IP can drag the rest down with it.
Authentication (SPF, DKIM, DMARC)
Can the sender cryptographically prove that the mail really comes from this domain? Without that proof, your message is distrusted by default.
Sending pattern & volume
Consistency wins. A sudden volume spike or an irregular rhythm is a classic red flag that immediately triggers spam filters.
Recipient behavior
Did earlier recipients open and click, or did they mark you as spam? Engagement has become one of the most heavily weighted reputation signals.
Bounces & invalid addresses
If you keep mailing non-existent addresses, your score drops fast. A healthy list with correct bounce processing is a trust signal in itself.
Complaints & blocklists
Spam complaints and blocklist entries feed straight through into your deliverability. Detecting and correcting them early prevents a downward spiral.
How 2mail builds your reputation
From first configuration to continuous adjustment — four steps that interlock.
Domain & authentication
You connect your domain and 2mail creates your DKIM key and the three DNS records (SPF, DKIM and DMARC) in one click. You publish them with your DNS provider; the dashboard checks in one click, and every hour after that, whether they are set correctly. These records cryptographically prove that an email really comes from you — the first step towards trust.
IP warm-up
A new sending address has no reputation yet. So you build up the volume gradually, by spreading your sends over batches, and we keep an eye on things during onboarding. That way providers get to know you as a reliable, predictable sender.
Rate limiting
Once warmed up, you send through a randomized IP pool with rate limiting per domain. Each major mailbox provider gets a fixed pace tuned to it: Gmail, Microsoft, Yahoo, iCloud and the Belgian providers each have their own rhythm.
Monitor & adjust
You see every delivery, bounce and rejection in the dashboard per domain, with the receiving server's literal response for each message. If that points to a declining reputation, we look together with you at what needs to change.
Deliverability is crucial, whatever type of sending you do
The moment an email goes to the spam folder, you lose more than just a message. The problem rarely lies with the content, but with the infrastructure behind it.
Webshops
A missed order confirmation means an unhappy customer and extra support questions. Order confirmations, shipping updates and invoices have to arrive when the customer expects them.
SaaS platforms
A verification email that lands in spam is a user who never logs in and drops out. Verifications, password resets and notifications belong in the inbox within seconds.
Newsletters
Structurally low inbox placement lets the reach — and therefore the return — of every campaign wither away, however good the content is. Consistent deliverability protects your reach.
Focus on the message — we safeguard the delivery
What all these cases have in common is that the problem rarely lies with the content of the mail, but with the infrastructure behind it: missing authentication, a shared IP address with a bad history, no follow-up on bounces, or a sending pattern that triggers spam filters. Those are exactly the points 2mail invests in structurally, so you can focus on the message instead of the technology behind it.
